Mailings

Technically, the purpose of a mailing is to send an email to several recipient email addresses. The list of email addresses can be defined in various ways.

The contents of the emails can be personalized, e.g. by having the values of contact person fields inserted into the emails to be sent to individual recipient email addresses. Furthermore, the contents of emails can be generated using Liquid templates.

You can place trackable links into your emails. Later on, you can analyze how many recipients clicked these links in order to produce follow-up mailings, for example.

How to carry out a mailing

To carry out a mailing using the WebCRM proceed as follows:

  • Create a mailing. If the mailing is produced in the context of an event, specify the title of the latter. The mailing will then show up on the details page of this event. Note that the only form field that needs to be filled out initially is the title of the mailing. The specified release date shows up in the calendar.

  • Specify the subject and the sender email address, then compose the the plain-text and optionally the HTML content of the mailing using the built-in text editors or the Scrivito Mailing Editor (the latter must have been enabled).

  • Optionally, mark links as tracked links in the mailing content and append an email open tracking image to the HTML content of your mailing.

  • Send a proof email to verify that text generated by means of Liquid appears as desired. The WebCRM sends proof emails to the user logged into the WebCRM, using the specified contact person as the data source.

  • Collect recipient email addresses by adding mailing deliveries to the mailing. Newly added mailing deliveries can be seen as empty envelopes with the recipient's addresses written on them. When a mailing is delivered, the WebCRM puts personalized emails into these envelopes, seals them and sends them to the recipient addresses. So, a mailing delivery represents the envelope, the personalized content and processing information, and the delivery status (success or failures).

  • If everything fits, select Deliver from the context menu.

  • Then, once the individual emails have been delivered, have a look at the delivery statistics.

  • You may want to add further mailing deliveries to a mailing and deliver it to those who haven't received it yet.
